Kristy Holmes

While studying civil engineering at university, I landed my first construction industry job at a civil engineering company in the quality, safety, and environmental management system hot seat. With no experience in this field, I learnt about management systems from the ground up and wrote an integrated management system that met ISO9001, I4001, and AS4801 within 12 months of starting work at the company. I ultimately decided to pursue management systems as my career path, and I have worked diligently to gain more knowledge and improve the effectiveness of management systems within numerous companies.

I have eight years of experience, and my career highlights include auditing projects at Parliament House in Canberra, creating environmental plans for projects in World Heritage Rainforests, working on a $47 million school project, and writing complete systems for construction and design companies. I absolutely love solving problems, and I am always looking for ways to do it better.

To maintain industry exposure, I also work as a consultant third-party certification auditor.

How do I know you won’t be like the last consultant I hired who took my money and left me with a HUGE pile of useless paper?

At start-up, we ask many questions so that we are clear on what you want and when you want it. With a fresh approach, we use our extensive knowledge of management systems to meet all of the requirements in the simplest and most effective way. To prove that we are not like other unsatisfactory consultants, we offer 100% money back should we fail to meet your desired outcome.

Isn’t there a new set of International Standards coming out in 2015?

Yes, ISO9001 and 14001 are due for release in late 2015, and if we work with you prior to their release, we will update your system free of charge to meet the revised requirements.

My current system gets the tick of approval when audited, even though no one uses it. Why would I bother changing it?

  • Not all auditors do a great job, and not all clients pick up on the fact that you are delivering the project without using your documented management system. This does not mean, however, that you should be complacent!
  • Management systems are less important when everything is going well, but they really matter when something goes wrong – and no one can predict when that might happen.
  • Suppose a supplier gives you a non-compliant product, no one picks up on it due to a lack of quality control, and it fails during the defects liability period. You might not be directly at fault, but your reputation will suffer and it will cost you money.
    Or, suppose an experienced worker makes a bad decision, injures him- or herself, and you have no training records to show that you met your duty of care.
  • Protect yourself, your company, and your livelihood with a great management system that meets all of the requirements and quickly gets you back to doing what you do best.

Can I just copy a compliant system that belongs to another company or buy a cheap, off-the-shelf system online?

Of course, but you probably shouldn’t.

Using another companies system, even if that company delivers the same product as you, is not ideal. To avoid being held back by a system that wasn’t written for your company, it may be better to use that system as inspiration and work with a consultant to create a unique system that will allow you to deliver projects better than another companies system.

I know from experience that people who have bought cheap, off-the-shelf systems have taken up to six months to tailor the documentation to their company’s needs. A commanding knowledge of systems is absolutely necessary, but if you have more time than money, this is one way to get a compliant system. As your company grows, a good consultant would be able to come in and work alongside you to make your system even better.

Is there software I can use to get the job done?

Various management system software has been making its way to the market lately, but I have yet to find one that meets all of the quality, safety, and environmental requirements and is easy to use. When/if I find software I can recommend, I will share information about it.

How much is it going to cost and how long will it take to get certified?

This really depends on your company size, the capability of your staff (how much training they will need), what system you have been using, and the resources you can commit to getting the system in place.

Some things you can do to lower the cost and speed up the process:

  • Know what you want. Do you want Federal Safety Commission Accreditation? 3rd-Party ISO Certification? To work as a subcontractor on a large construction project?
  • Recognise that the Managing Director/Owner and Construction Manager must believe in the value of a management system, and voice this belief whenever possible in order to get everyone on board. By articulating the benefits of a management system, including better profits, better opportunities for both individual and company growth, and better working conditions, resistance to system implementation will be minimized.
  • Allocate resources to ensure that all members of your team contribute to the writing of the required procedures.
